As HR Graduate you will provide comprehensive hands on, proactive support to the Head of HR. You will be highly organised with excellent communication skills, you will have a calm, confident approach and thrive in a busy working environment.
Key Responsibilities
To provide HR Assistant Support in the following areas:
HR Professional - Providing day to day assistance to the Head of HR to support the needs of the business, provide a professional and confidential service to all stakeholders.
Administrative Processes – To undertake regular administrative processes, such as Contract of Employment, Leavers Letters, Salary Letters, in an accurate and organised manner.
Assisting with general administrative duties as required, such as archiving, filing, etc
Systems – Maintain accurate records on the HR Information System. Look for ways to improve automation and self-service.
Reporting – Respond to both scheduled, regular and ad hoc requests for information in a professional and timely manner.
Recruitment – Managing the recruitment process end to end, controlling candidates through sifting stage and involvement in interview and selection processes where required.
Onboarding – support the HR team with the onboarding/Induction of all new recruits, from production of accurate offer paperwork, through to ensuring they are compliant with all legislation and internal guidelines.
Leavers – Ensure that Leavers paperwork is completed as per process. Reply to request for employment references in a timely manner.
Training – Support the delivery of the training plan, ensure all training is logged.
Employee Relations – Support the Head of HR with ER activity, such as basic investigation activity, compiling packs or taking precise minutes.
Policies – support the HR team with the maintenance & updates of policies and procedures ensuring the company is compliant with rules and regulation.
Continuous Improvement –be inquisitive and appropriately challenge existing processes to continually add value to the business, automating transactional activity wherever possible.
HR consolidation reporting - Support the HR team with HR Reporting, collating, entering and reviewing group people data
VINCI Energies training sessions - Welcome and look after delegates attending training, including logistics, room set up and the provision of refreshments, stationery and equipment required for successful delivery.
Update & create SharePoint sites
General
Build positive internal and external relationships with Employees, Managers, and any other stakeholders.
Delivery will require a consistently high standard of administration and non -administration activities.
Attend company events and recruitment fairs, assisting with organising, set up and delivery as required.
What knowledge & skills you will need:
Ability to set up systems, spreadsheets and competently undertake the monitoring and analysis of information.
Competent and proficient in Microsoft Office packages especially Word, PowerPoint, Excel, and Outlook
Ability to communicate effectively verbally and in writing and to explain and support learners using understandable terminology
Excellent organisational and time management skills, able to operate within tight deadlines and manage several work activities at any one time
Ability to manage a busy workload and meet deadlines
Ability to prioritise and re-prioritise work with minimum notice
Ability to manage own workload to achieve set targets and deadlines
Ability to establish and maintain professional working relationships with all stakeholders
