Axians Brand Team Assistance F/M
06/11/2024The 26-people Axians Brand Team (ABT) is responsible for managing a network of 350 Business Units (BUs) in 40 countries, mainly in Europe. Every year, we organize over 100 international clubs, a dozen internal events and external events (trade shows, conventions, etc.).
As Brand Team Assistant, you will play a key role in providing essential logistical and administrative support to our team. Your main responsibilities include:
Logistical and administrative support for events:
- Planning, monitoring and follow-up of internal and external events organized by the team.
- Organization of logistics for meetings, clubs and BUs and Poles visits.
- Management of meals and buffets for internal events in the Paris region (including monthly team meetings).
- Logistical assistance for external events (trade shows, conferences, etc.).
Administrative support and travel management:
- Management and administrative follow-up of international employees staying at l'Archipel.
- Assistance with reporting and the use of VINCI Energies tools, as well as team training.
- Administrative follow-up of assignment contracts for detached employees.
- Entering and monitoring team operating expenses, as well as checking invoices after validation by managers for validation in the Codex tool.
- Assisting the finance department in monitoring invoices and payments to companies.
- Assistance to managers in closing the annual accounts.
Operational assistance:
- Assistance in organizing and managing the Brand Director's travel.
- Ensuring that deadlines are met for annually planned events and tasks.
We are looking for someone with the following skills:
- Proven experience in an administrative or cross-functional role, ideally in an international environment.
- Organized and rigorous.
- Proficiency in Microsoft Office tools (Excel, Word, PowerPoint) and financial management tools (Codex or similar).
- Excellent time management skills and ability to manage several projects simultaneously.
- Good communication and interpersonal skills with service providers and internal teams.
- Personal qualities :
*Autonomous, detail-oriented and responsive.
*Ability to meet tight deadlines.
*Fluency in French and English, with a third language preferred (German, Spanish, Portuguese).
